OUR POLICIES

Delivery/Pick-Up Order Policies

  1. (72) hours’ notice is preferred for delivery and pick-up catering orders. Approval for any order is based on availability.
  2. All catering deliveries within a (5) mile radius of our kitchen are subject to a 15% delivery and set-up fee. Delivery locations outside of that travel radius may be subject to a higher delivery rate. This fee is waived with any standard pick-up order.
  3. Catering requests received under our (72) hour minimum are subject to an increased administrative fee. Late-order menu costs are subject to vary based on each request.
  4. To secure our catering services for your event we require a signed catering agreement after your initial estimate has been created.
  5. A 10% deposit may be requested for any large catering order.
  6. Final headcount and menu selections for any order are due a minimum of (5) days prior to the event date, after which the count may increase but not decrease.
  7. Please allow a delivery window of (15) minutes before and after the specified delivery time due to unknown weather and traffic conditions.
  8. Delivery minimum is $200 for a la carte orders. If an a la carte order is under the minimum, a surcharge will be added.
  9. Payment is due upon order receipt for delivery or pick-up orders.
  10. We accept cash, check, ACH, credit card for payment.
  11. A taxable 3% convenience fee will be applied to any catering invoice payments made with a credit card.
  12. In the event of a cancellation, you will be responsible for any costs incurred up to the time of cancellation. 100% of the estimated charges will be assessed if the cancellation occurs less than (24) hours prior to the event.
  13. A credit card number may be requested for incidentals.

Full-Service Event Policies

  1. Our food and beverage minimum (before labor, taxes and fees) during peak season is $1,500 for events Sunday through Thursday, $3,000 for Friday or Saturday events. Peak season runs May – October. During off-season, requests under these minimums can be requested for approval.
  2. A minimum of (30) days’ notice is preferred with any new full-service catering event. When ordering a bar package that includes alcohol, we require a minimum (16) days’ notice. This timeframe is required to file the necessary event details with New York State. The Buffalo Catering Co. will obtain the necessary alcohol permits and insurance to provide beverage services at your event. Approval for any order or order adjustments is based on availability.
  3. All full-service, on-site events are subject to an administrative fee that may range between 18-25%. This fee is based on the extent of your event and will be identified as a separate line item on your catering order.
  4. To secure our catering services for your event we require a signed catering agreement along with a 10% deposit calculated from the tentative estimate at the time of booking. Order adjustments can continue to be made after the time of booking.
  5. Final headcount and menu selections are requested (5) days prior to the event date, after which the count may increase but not decrease.
  6. When table linens or linen napkins are being ordered, we require a final table layout and guest count (14) days prior to the event date.
  7. Following health and safety regulations in the State of New York, the catering staff will remove all remaining perishable food items from the event upon the conclusion of meal service. Any non-perishable items (i.e. baked goods) may be taken at your discretion. The Buffalo Catering Co. does not provide to-go containers for these items. This policy applies to full-service catering only and does not apply to delivery or pick-up catering orders.
  8. Payment is due (48) hours prior to your event for full-service catering packages.
