We recommend staffing full-service events with approximately 1 server for every 25-30 guests and approximately 1 bartender for every 50 guests. We also understand that every event is unique, which is why our catering team spends time with each event host to understand their event needs. We will work with you in preparing a custom catering order to ensure we provide the correct amount of staff needed to fully support each event.

What does full-service include?

Our full-service packages include staffing for the transport, setup, food and beverage services, replenishment, and cleanup of all catering-related areas before, during, and after your event. Our goal is to relieve you of the many details that go along with hosting a successful party so that both you and your guests can thoroughly enjoy this special event.

The Buffalo Catering Co. has many trusted years of experience both managing and executing events throughout the WNY area. We take pride in thoroughly reviewing all day-of details with our clients in advance to ensure your event is set up and executed to our high standards. Our staffing numbers and timeframes will always be identified on your catering estimate and final order.

What is included in the administrative fee for a full-service event?

Our administrative fee covers all the back-end costs that go into the planning and preparation of an event aside from the ordered food, beverages and event staff labor.

The administrative fee does not include event staff gratuity, as we prefer to leave that option up to the discretion of our event hosts. A gratuity of any amount is never expected by our event staff, but is always appreciated if a host chooses to include that.

I’m interested in booking your catering services for my upcoming event but am unsure of my menu selections.  Do you offer menu tastings?

After preparing your initial catering estimate or order, we would be happy to provide a tasting to help finalize any menu selections for your upcoming event. Our custom menu tastings are held in our catering kitchen and include (3) entrees + (3) side dishes. Menu tastings are prepared for (2) guests and cost at $40/person. That amount is to help cover food costs and our chef’s time. Payment for the tasting is due at the time of tasting. If you choose to book The Buffalo Catering Co. for your event, that amount will be deducted from the final catering bill.

Our Policies

Delivery/Pick-Up Order Policies

  • (72) hours’ notice is preferred for delivery and pick-up catering orders. Approval for any order is based on availability.
  • All catering deliveries within a (5) mile radius of our kitchen are subject to a 15% delivery and set-up fee. Delivery locations outside of that travel radius may be subject to a higher delivery rate. This fee is waived with any standard pick-up order.
  • Catering delivery and pick-up requests received under our (72) hour minimum are subject to an increased administrative fee. Late-order menu costs are subject to vary based on each request.
  • To secure our catering services for your event we require a signed catering agreement after your initial estimate has been created.
  • A 10% deposit may be requested for any large catering order.
  • Final headcount and menu selections for any order are due a minimum of (5) days prior to the event date, after which the count may increase but not decrease.
  • Please allow a delivery window of (15) minutes before and after the specified delivery time due to unknown weather and traffic conditions.
  • Delivery minimum is $200 for a la carte orders. If an a la carte order is under the minimum, a surcharge will be added.
  • Payment is due upon order receipt for delivery or pick-up orders.
  • We accept cash, check, AMEX, Visa, Mastercard, Discover for payment. Corporate accounts are welcome.
  • A taxable 3% convenience fee will be applied to any catering payments made with a credit card. This fee will be excluded on any invoices paid via cash, check or EFT.
  • In the event of a cancellation, you will be responsible for any costs incurred up to the time of cancellation. 100% of the estimated charges will be assessed if the cancellation occurs less than (24) hours prior to the event.
  • A credit card number may be requested for incidentals.

Full-Service Event Policies

  • Our food and beverage minimum (before labor, taxes and fees) during peak season is $1,500 for events Sunday through Thursday, $3,000 for Friday or Saturday events. Peak season runs May – October. During off-season, requests under these minimums can be requested for approval.
  • A minimum of (30) days’ notice is preferred with any new full-service catering event. When ordering a bar package that includes alcohol, we require a minimum (16) days’ notice. This timeframe is required to file the necessary event details with New York State. The Buffalo Catering Co. will obtain the necessary alcohol permits and insurance to provide beverage services at your event. Approval for any order or order adjustments is based on availability.
  • All full-service, on-site events are subject to an administrative fee that may range between 18-25%. This fee is based on the extent of your event and will be identified as a separate line item on your catering order.
  • To secure our catering services for your event we require a signed catering agreement along with a 10% deposit calculated from the tentative estimate at the time of booking. Order adjustments can continue to be made after the time of booking.
  • Final headcount and menu selections are requested (5) days prior to the event date, after which the count may increase but not decrease.
  • When table linens or linen napkins are being ordered, we require a final table layout and guest count (14) days prior to the event date.
  • Following health and safety regulations in the State of New York, the catering staff will remove all remaining perishable food items from the event upon the conclusion of meal service. Any non-perishable items (i.e. baked goods) may be taken at your discretion. The Buffalo Catering Co. does not provide to-go containers for these items. This policy applies to full-service catering only and does not apply to delivery or pick-up catering orders.
  • Payment is due (48) hours prior to your event for full-service catering packages.
